Destination Wedding Planning Tips

So, you’re getting married. Hooray! Congratulations on this super exciting time in your life. I’ll bet your head is just swimming with ideas. Perhaps you are a little overwhelmed? But mostly excited, right? That’s common!

Okay, so now the time has come to talk about planning a destination wedding! Andrea is a Certified Destination Wedding, Honeymoon & Romance Travel Specialist, which means she has had extensive training in making your day unforgettable!

Let’s first talk about the timeline for booking a destination wedding. We recommend at least 4-6 months in advance but more time is always better. Not just because it is better for you to have a bit of time to enjoy your engagement, but to help your guests with their planning too! Here is our quick timeline overview for some of the milestones for planning:

  • Day 1 - Provide a wedding date (or top 3 choices of dates) and time to your Travel Advisor.
  • Day 10 - Within 1 week, you will receive up to 3 quote options for resorts and venues.
  • Day 17 - Send your final resort choice to your Travel Advisor and they will request your wedding date.
  • Day 19 – Your Travel Agency will confirm resort & wedding date. They will send you client contracts for the wedding and room block.
  • Day 20 – Send your Travel Agency the signed contracts.
  • Day 30 - All guest deposits are due.
  • Day 50 - Preliminary room count, expected guest names on all rooms.
  • 120 days before departure - Final date for room changes.
  • 90 days before departure date - Final balance is due.
  • 60 days before departure - Coordinate wedding with resort wedding department.
  • 60 days before departure - Send your final flight information to your Travel Advisor to coordinate transfers.
  • 30 days before departure - Your Travel Advisor, bride and groom will meet to go over all documents.
  • 30 days before departure - All travelers to receive documents.

Does this look easier than you expected? That is because it really is! Planning a destination wedding means more time to enjoy the excitement of your engagement and fewer detail decisions.
